Withdrawing from a programme
Withdrawals, Refunds and Appeals Policy
Before you withdraw from a programme of study, it is vitally important that you contact BMP to talk about the challenges you are facing and discuss study options. In many cases, there may be alternative solutions available such as extensions, additional academic support, or changes to your study plan that could help you successfully complete your programme.
BMP-Initiated Withdrawal
BMP may withdraw a student from their programme of study if the student has not made sufficient academic progress within a reasonable period of time.
A student may be considered inactive or at risk of withdrawal if they:
- Fail to submit required assessments within the specified timeframes
- Fail to participate in required learning activities or practical components
- Do not communicate with BMP regarding extensions or academic difficulties
- Do not respond to contact attempts from BMP staff regarding their progress
Before withdrawing a student, BMP will normally provide written notification outlining the concerns about their academic progress and advising the student of the actions required to remain actively enrolled. If the student does not meet the requirements outlined in the notification within the specified timeframe, BMP may proceed with withdrawing the student from their programme of study.
Students withdrawn under these circumstances will be notified in writing and their enrolment status will be updated accordingly.
Programme Transfers
Students who wish to transfer from one programme to another may apply to do so with approval from a BMP manager. Applications for programme transfers will be considered on a case-by-case basis.
When assessing a transfer request, BMP may consider factors including:
- How long the current programme has been running
- Whether the student is likely to succeed in the new programme
- The amount of learning or assessments the student may need to catch up on
- The level and academic requirements of the programme the student wishes to transfer into
- The student’s previous academic progress and engagement with their current programme
If a transfer is approved, the student will be required to formally enrol in the new programme.
Refunds
Refund eligibility depends on when the withdrawal occurs in relation to the programme start date.
If a student withdraws within the Early Withdrawal period, they may be entitled to a refund in accordance with the Education and Training Act 2020. In this situation, the student will receive a refund of the fees paid less either 10% of the total fees or $500, whichever is the lesser amount.
If a student withdraws after the Early Withdrawal period, they will be recorded as a withdrawal and will not be eligible for a refund for the programme or courses that have already started.
Refunds will be paid to the individual or organisation that originally paid the fees.
In exceptional circumstances, the General Manager may approve a variation to the refund provisions. Students wishing to request a variation must submit their request in writing, outlining the circumstances that support their application.
Appeals
Students who believe a decision has been made incorrectly under this policy have the right to appeal.
Appeals must be submitted in writing to the General Manager and should include:
- The decision being appealed
- The reasons for the appeal
- Any supporting evidence or documentation
The appeal will be reviewed, and the student will be notified of the outcome following the review process.
